Billing Management
This guide covers how to manage your subscription, payment methods, and billing history in TapeAlert.
Accessing Billing Management
To access billing settings:
- Log in to your TapeAlert account
- Navigate to Partner Administration (requires admin access)
- Select the Account & Plan tab for subscription management
- Or select the Billing History tab for invoice details
Managing Your Subscription
Viewing Current Subscription
Your current subscription details are displayed on the Account & Plan page, including:
- Current plan name (Trial, Standard, Professional, or Custom)
- Billing period (monthly/annual)
- Next billing date
- Current usage statistics against plan limits
Changing Plans
To upgrade or downgrade your subscription:
- Go to Partner Administration > Account & Plan
- Click Upgrade Plan to move to a higher tier
- Or click Manage Subscription to access all plan options
When upgrading:
- Your new plan starts immediately
- You’ll be charged prorated fees for the remainder of the billing period
- New limits and features are available right away
When downgrading:
- Your current plan remains active until the end of the billing period
- Your new plan will take effect at the next billing date
- No refunds are provided for unused portions of your current plan
Cancelling Your Subscription
To cancel your subscription:
- Go to Partner Administration > Account & Plan
- Click Manage Subscription
- Select Cancel Subscription
- Confirm your cancellation
After cancellation:
- Your plan remains active until the end of the current billing period
- You’ll still have access to all features until that time
- Your data is retained for 30 days after your plan expires
- You can reactivate your subscription at any time during this period
Payment Methods
Adding a Payment Method
To add a new payment method:
- Go to Partner Administration > Account & Plan
- Click Manage Subscription
- Select Update Payment Method
- Enter your new payment details
- Choose whether to make this your default payment method
Updating a Payment Method
To update an existing payment method:
- Go to Partner Administration > Account & Plan
- Click Manage Subscription
- Select Update Payment Method
- Find the payment method you want to update
- Click Edit and enter the new details
Removing a Payment Method
To remove a payment method:
- Go to Partner Administration > Account & Plan
- Click Manage Subscription
- Select Update Payment Method
- Find the payment method you want to remove
- Click Delete
Note: You cannot remove a payment method if it’s the only one associated with an active subscription.
Billing History
Viewing Invoices
To view your billing history:
- Go to Partner Administration > Billing History
- See a list of all past invoices with:
- Invoice date
- Amount
- Status (Paid, Pending, Failed)
- Payment method used
Downloading Invoices
To download an invoice:
- Go to Partner Administration > Billing History
- Find the invoice you want to download
- Click the View Invoice button
- In the Stripe Invoice portal, click Download
Invoice Details
Each invoice contains:
- Invoice number
- Issue date
- Due date
- Itemized charges
- Applied taxes
- Payment status
- Payment method used
Handling Failed Payments
If a payment attempt fails:
- You’ll receive an email notification
- The payment status in your billing history will show as “Failed”
- Our system will automatically attempt to charge the card again
- You can update your payment method at any time
After multiple failed attempts:
- Your account may be restricted to view-only mode
- You’ll need to update your payment information to restore full access
- Any overdue amounts will be added to your next invoice
Billing Contacts
You can designate specific users to receive billing communications:
- Go to Partner Administration > Account & Plan
- Click Billing Contacts
- Add or remove email addresses for billing notifications
Billing contacts will receive:
- Invoice notifications
- Payment confirmations
- Payment failure alerts
- Subscription change confirmations
